This App Privacy Notice explains how the Voxnoto application (the "App") handles personal data on your device. It supplements the Voxnoto Privacy Policy, which applies to your Voxnoto account and all data stored in it, including the purposes and legal bases of processing, service providers, international transfers, retention and your privacy rights. If you are a U.S. resident, the U.S. State Privacy Notice also applies.

1. What the App Accesses on Your Device

The App asks for each permission when it is first needed. You can grant or revoke permissions at any time in your operating system settings. Some features are not available on every platform.

The App does not access your camera, contacts, location or messages, and does not record video or the contents of your screen.

2. Automatic Call Detection

Automatic call recording is off until you turn it on.

When it is on, the App checks which application is using your microphone and compares it with a built-in list of calling applications (for example Zoom, Microsoft Teams, Webex, FaceTime and Slack). For calls in a web browser, it checks only the website address of the browser tab that is using the microphone and compares it with a list of video-calling services (for example Google Meet). It does not read page content, messages or your screen.

If an application the App does not recognize uses the microphone, the App asks you once whether to record calls in it.

The application name and website address used for call detection are processed only on your device. They are not sent to Voxnoto and are not stored.

3. Recordings on Your Device

A recording made with the App is first saved on your device and then uploaded to your Voxnoto account for transcription and storage on Voxnoto's infrastructure (Hetzner, Finland). Processing of uploaded recordings is described in the Voxnoto Privacy Policy.

By default, the local copy stays on your device until you delete it. You can choose in the App settings not to keep local copies after upload.

Recordings stored on your device are under your sole control and responsibility. Voxnoto has no access to your device and cannot view, recover or delete them. Deleting your Voxnoto account does not delete recordings stored on your device; you can delete them in the App.

4. What the App Sends to Voxnoto

  • Account and sign-in data: email address, name if provided, authentication tokens.
  • Recordings and files you submit, and their metadata: file name, duration, date, language.
  • Device and app information: operating system and version, app version, device type, IP address. Kept in server logs for up to 90 days.
  • Error reports, if an error occurs: the error message, app version, operating system version, device model and a random identifier created when the App is installed. The identifier is not linked to your account or to your device hardware. Error reports do not include recordings, transcripts, your name, email address or file contents. They are sent to Voxnoto's own error-monitoring service hosted in the European Union, kept for 90 days, and not shared with third parties. You can turn off error reports in the App settings.

The App receives your plan status from Voxnoto's servers. The App does not process payments or payment card data.

5. What the App Does Not Do

The App does not:

  • contain advertising or advertising trackers;
  • use third-party analytics;
  • track you across other companies' apps or websites;
  • sell or share your personal data; or
  • create or keep voiceprints or other biometric identifiers. Speakers in transcripts are labelled generically, such as "Speaker 1" and "Speaker 2".

6. Recording Other People

When you record calls, the App processes the voices and words of other participants as part of your content. You are responsible for informing them and obtaining their consent where the law requires it. The App does not notify other participants.

7. Your Choices

In the App you can:

  • turn automatic call recording on or off and choose which applications it applies to;
  • stop any recording;
  • choose whether to keep local copies of recordings;
  • turn error reports off; and
  • open account deletion: Settings › Account › Delete account.

In your operating system settings you can revoke microphone, system audio, browser automation and notification permissions.

In the web dashboard at admin.voxnoto.com/settings you can export your data and delete your account. If you cannot sign in, email [email protected] from your account email address to request deletion.

Uninstalling the App removes the App from your device. It does not delete your Voxnoto account or data stored in it, and, depending on your operating system, may not remove recordings saved on your device.

9. Children

The App is not intended for anyone under 18.

10. Changes

We may update this Notice when the App changes. The effective date above shows the latest version. Material changes will be communicated where required by law.
