Sales call notes template
Templates for discovery, demo and follow-up calls.

Most sales notes are written to prove the call happened. Useful notes do something narrower: they record what the buyer said in their own words, what has to be true for them to buy, and what happens next. These templates are built around that.
Discovery call template
Company: [name] · Contact: [name, role] · Date: [date] Source: [where the lead came from] Their situation [What they do, how the relevant process works today] The problem, in their words "[Direct quote]" Why now: [what changed, new hire, new target, a failure, a renewal] Impact [Cost, time, risk they named, numbers if they gave any] What they've tried [Tools, workarounds, internal attempts, and why those fell short] Decision Who decides: [names, roles] · Who else is involved: [names] Budget: [stated, implied, or unknown] Timeline: [their words, not your hope] Objections raised - [Objection] → [how you answered] Next step [What, who, by when, agreed on the call, not assumed]
Demo call template
Company: [name] · Attendees: [names, roles] · Date: [date] What they asked to see: [their agenda, not yours] Reactions Landed: [features they responded to, and what they said] Fell flat: [what got no reaction] Confusion: [where they asked "wait, how does..."] Requirements surfaced - [Requirement], [must have / nice to have, in their words] Objections - [Objection] → [your answer] → [did it settle the point? yes / no / partly] Next step [What, who, by when]
Follow-up email template
Subject: [their words for the problem, not your product name] Hi [name], Thanks for your time today. As I understood it: - You're trying to [their goal, their phrasing] - The blocker is [the problem they described] - Success looks like [their measure] What we agreed: - [Your next step], by [date] - [Their next step], by [date] [One line answering the objection they raised, with a link or a number] If I've misread anything above, tell me and I'll correct it. [Name]
What makes notes useful three months later
Quotes, not paraphrase. "Our support team is drowning" is a note you can sell from. "They have support issues" is not.
Numbers as they said them. Approximate figures from the buyer beat precise ones you assumed.
Objections as they were phrased. The exact words tell you whether it's price, risk or internal politics.
The next step, with a date. A call without an agreed next step didn't finish; it just ended.
Letting the recording do it
Filling these fields while also running the call is exactly what makes reps take shallow notes. Send voxnoto to the call, or record the meeting in the room, and the summary comes back with needs, objections and next steps, which is most of the discovery template already filled in.
Edit it before it goes into the CRM. The summary records what was said; you know which parts mattered.
Questions and answers
What should sales call notes include?
The buyer's situation and problem in their own words, impact, decision process, objections, and an agreed next step.
How detailed should notes be?
Short enough that you write them, specific enough that someone else could take the deal over.
Should I record sales calls?
If you do, say so at the start and get agreement. Rules differ by country and US state.
Can notes be written automatically?
Yes, from a recording. Treat the summary as a first draft and edit it.
What goes in the CRM?
The problem, the impact, the decision makers, the objections, and the next step with a date.
