How to do it in three steps

Recording a call you can actually transcribe

  • Speakerphone plus a second device is the worst option and sometimes the only one, put the recording device close to the handset, not across the desk.
  • A carrier or VoIP recording is far cleaner, because each side is captured from the line rather than from the air.
  • Phone audio is narrow-band by design, so expect a slightly weaker transcript than from a video call.
  • Ask the other person to say their name at the start. On a two-voice call it makes labelling reliable.

Before you record a call: read this first

Recording a phone call is regulated, and the rules differ sharply by country and, in the United States, by state. Some places require only one participant to consent, which can be you. Others require everyone on the line to agree, and recording without that is a criminal offence, not a technicality.

The safe habit is simple: say at the start that you're recording, say why, and wait for a yes. Keep that part of the recording, it's your evidence of consent.

If you're calling across borders, the stricter rule generally applies. When a deal or a dispute might depend on the recording, ask your lawyer rather than a blog post, including this one, which is general information and not legal advice.
